MEETING NOTES- ANNUAL MEETING APRIL 20, 2016

1. Call to order by President Dale Marteney

EC present: Dale Marteney, Janet McFarland, Vicki Martney, Peggy Ogden, Marcy Santoyo

2. Roll call of clubs – total of 16 votes: 12 club votes, 4 EC votes

3. Treasurer Report/Acceptance: accepted, unanimous vote

4. Proposed Budget Report/Acceptance – accepted pending 2 changes

a. Changed Budgeted 10 State Tournament, from $7500 to $7000

b. Changed Budgeted 12 State Banquet from $1800 to $1500

5. Correspondence – none

6. Committee Reports – Bob Lemon joined Grievance Committee, Bob Hilpertshauser joined By-Laws Committee

7. Unfinished business – host club for the club team tournament for 2017

a. Discussion regarding putting all clubs with 18 courts on a rotation similar to Closed State Tournament

b. Requirements: Did your club have a team in last year’s club team tournament? Is your club willing to host? Are you hosting the State Tournament in the same year? If club refuses, drop to next club in rotation

c. Motion to accept these changes by Duane Raeburn, 2nd by Lois Hottinger. Vote: 14 yes, 1 No, 1 abstained

d. Motion carried and first club to host will be Winter Haven

8. New business - Bylaw changes

a. Article IX Clubs Section 6.  

i. Currently reads: Submit to the FSHPA Inc. Secretary -Treasurer a proposed schedule of tournaments, and entry fee, for the ensuing season.

ii.  Suggested change:  Submit to the State Statistician a proposed schedule of tournaments for the ensuing season.

iii.  Reason:  the State Statistician has been handling this duty for the past eight years and the By Laws should reflect the change of duties from Sec/Treas to the State Statistician.

iv. Submitted by Bob Hilpertshauser

v. Passed unanimously

b. Junior Program

i. Scholarships have gone unclaimed, money going back into fund. Last year no junior won the scholarship so the funds were given to a needy senior

ii. Peggy Ogden will send names of juniors who have not claimed scholarships to Club Presidents to see if anyone has contact information for any of them

iii. All clubs must allow juniors to pitch in their tournaments

c. Florida Pin sale program – Janet McFarland is selling FL Pins for $4.00 each. Funds go toward HOF fund as in previous years.

9. World delegates – Three based on our membership count of 300 – Mike Trudel, Tom Flaherty, Peggy Ogden, Chris Ogden, Janet McFarland, Dale Marteney, Vicki Marteney; President will make the final selection

10. State tournament for 2018 – Beverly Hills
