EXECUTIVE COUNCIL MEETING MINUTES

January 27, 2012 1:00pm

1.        Call to order.  Attending: President Bob Hilpertshauser, 1st VP Bob Lemon, 2nd VP Vicki Marteney, 3rd VP Verdell Woollard and

2.        Sec/Treas Marcela Santoyo; also attending Bob Marks, BJ Jarrett, Harold Newsome, Alice, Paul Dumas, Gino Pepe, Marvin Grubb

3.        Income/expense report – Marcy to follow up with Wells Fargo regarding CD interest drop ; all tournament assessments are in

        except for Beverly Hills. Will pay for all 4 tomorrow at team tournament. Gave copies to BJ Jarrett and Marvin Grubb, audit

        committee

4.        Correspondence –

o         Chuck Johnston, pres Clearwater HS club wondering how clubs make any money. Why do entry fees vary by club. Clearwater pays out 85% in prize money.  Suggests allocating $1 to club like the $2 assessment. Response: up to club for entry fee, prize money, not a state issue. Gave other ways to make money 50/50, drinks, concessions etc. 

o         Expired member didn’t want to qualify 100 shoes Response: must follow by-laws and pitch 100 shoes to qualify

5.        By law changes

o         3 proposed changes – will go to by-law committee for vote at Annual Meeting

a.       Article XI ALL FSHPA Tournaments, Section 6: All pitchers’ averages shall be based on the published NHPA NATSTATS average described in the NHPA by-laws in Article XII.

                                                                            i.      Suggested change: All pitchers’ averages shall be based on the published NHPA NATSTATS averages as described in the NHPA RGS Book PLAYING RULES, RULE 11 – Tournament/League play Section D –Seeding Contestants

                                                                           ii.      Reason for change: correct location of NHPA NATSTATS averages methodology

b.       Article XI ALL FSHPA Tournaments, Section 9: Ties between contestants shall be decided at the tournament committee’s direction as per NHAP BYLAW Article XII, Section 5.

                                                                            i.      Suggested change: Ties between contestants shall be decided at the tournament director’s discretion as per NHP RGS Book PLAYING RULES, RULE 11, SECTION B.

                                                                           ii.      Reason for change: correct location of NHPA rule and most tournaments are run by tournament director not by committee

c.       Article IX Clubs, Section 7 the Secretary shall: b. report to the FSHPA Inc Secretary-Treasurer at the Annual Executive Club Meeting the name, address and phone number of all Club officers, whenever there is a change in elected officers

                                                                            i.      Suggested change: Report to the FSHPA Inc Secretary-Treasurer, at the Annual Executive Club Meeting, the name, address, phone numbers (home & Cell) and email address of all Club officers, or whenever there is a change in elected officers

                                                                           ii.      Reason for change: to keep current on Club officers

6.        Still looking for promotion committee chair

7.        Report by Bradenton club on state tournament preparations

o         Establish agenda for club presidents meeting

o         Establish agenda for Awards banquet

o         Prize money established

o         Awards Banquet location and choices discussed

o         Marcy to send to Lois Hottinger list of names for banquet and food choice – a few days after April 1

o         Marcy to send final tournament schedule to Lois Hottinger for inclusion in tournament booklet

o         Singles entry form – language for “cannot pitch Friday”- leaving, no change

o         Motel secured

o         Plaques selected

o         Deadline Feb 15 – to have everything listed in the newsletter

 

8.        State tournament for mixed, men’s and women’s doubles – if one partner doesn’t show up allow pitcher to find new partner of equal or lesser ringer % of the partner that didn’t show.  Stay in the same class. Use same entering average. Replacement cannot have pitched in the tournament already. Use a sign up sheet,  set cut off 30 min prior to class start time

9.        Contest on website to promote visits – hidden hot spot, finder sends an email to Jim. Name goes into drawing at banquet. EC approves $25 (out of promotions budget)

10.     Prize money for team tournament discussed and set

11.     Open discussion

o          Letter on web page about Flagler county horseshoes – Bob Lemon suggests that FSHPA gets involved. Tom Martone and Bob H are involved already.

o         How do we get more clubs involved in sending teams to team tournament? Bob Lemon suggests that every club send at least 1 team.

o         NHPA drive to increasing membership – disseminate information, maintain email list etc. All info from NHPA will be disseminated. Thank you to Dell for taking this responsibility.

o         Next year add email to membership form

o         Team tournament for next year – no need to disallow multiple pitchers from same team in same class since its count all and winners not decided by wins/losses.
